By completing a booking with Pass The Cam, you ("Customer") agree to the following terms and conditions. Please read this agreement carefully before reserving your date.
This Rental Agreement is between Pass The Cam ("Company," "we," "us"), a business operating out of Atlanta, Georgia, and the customer who completes a booking ("Customer," "you"). This agreement is binding upon submission of payment.
Depending on the package selected, your rental includes one or more of the following:
All equipment is inspected, cleaned, and fully charged before shipment. You are responsible for the equipment from the time it is delivered to your shipping address until it is received back by Pass The Cam.
Your rental period begins upon delivery of the equipment to your shipping address and ends when the equipment is dropped off for return per the instructions below. Equipment must be returned within 72 hours of your event date on the first business day using the prepaid return label included in your box.
Failure to return equipment within this window may result in a late fee of $25 per day until the equipment is received.
We ship your camcorder 4–5 business days before your event to ensure timely arrival. Shipping is included in your package price both ways.

We ship via our standard carrier. A tracking number will be emailed to you once your order ships.
📮 Return Shipping
Use only the prepaid return label included in your box. Drop off at any USPS location.
Pass The Cam is not responsible for delays caused by the carrier. In the event of a shipping delay that impacts your event, we will work with you in good faith to find a resolution, including expedited replacement shipping where available.
Full payment is due at the time of booking to secure your date. Prices are as listed on our website at the time of reservation:

Payment terms — your booking fee is non-refundable
Once you book with us, the amount you pay locks in your date as a Retainer. This isn't a deposit toward future services — it's payment for the work we do immediately: turning away other couples for your date, getting equipment ready and tested, setting aside editing time, and handling all the setup that goes into your order.
Because that work happens right away, the Retainer is considered earned in full the moment you book. We don't issue refunds for cancellations, postponements, changes of plans, or any circumstance within your control. By booking, you're agreeing this reflects the real cost to us of holding your date — it's not a penalty, it's compensation for time and capacity we've already committed.
A refund is only available under this section, and only if every condition below is met.
A. You completed the required pre-event equipment check.
Before your event, you must have gone through the setup verification steps outlined in Section 9 of the Rental Agreement — this means powering on the camcorder, fully charging the battery, formatting the memory card, and recording and reviewing at least three test clips (each 30+ seconds long) to confirm they saved and played back correctly.
B. You followed our usage instructions.
The equipment needs to have been used the way we outlined — through the included packaging instructions, text guidance, video walkthroughs, or instructions posted on our site — covering setup, charging, recording, and storage.
C. Your situation matches one of the following:
(i) Equipment failed after passing your check.
The camcorder passed your pre-event verification but then malfunctioned during the event in a way that directly caused footage loss. This malfunction must be verified either by us or through a manufacturer inspection, and must not trace back to user handling, environmental exposure, or outside electrical interference.
(ii) No usable footage despite correct use.
You completed the pre-event check, operated the camcorder correctly throughout the event, and still ended up with no usable footage — and we're able to confirm this was due to an equipment defect rather than user error, environmental conditions, accidental damage, or any of the disqualifying situations described elsewhere in this policy.
(iii) The equipment never arrived.
Your package was lost by the shipping carrier before reaching you, you had no camcorder available for your event as a result, and you worked with us in good faith to try to track the package or get a replacement out in time.
You can cancel anytime by emailing passthecamcorder@gmail.com. Regardless of the reason — a change of heart, financial strain, illness, a family situation, a vendor conflict, a postponed or canceled event, a venue change, or anything else — cancellations don't come with a refund.
Rebooking credit (at our discretion).
If your date ends up getting filled by another couple at full price, we may choose to offer you a partial credit toward a future booking. This isn't guaranteed — it's something we do when we're able to, as a courtesy. Credits can't be transferred to someone else, are only good for 12 months from when they're issued, and depend on availability for whatever new date you're looking at.
We include comprehensive damage protection with every rental. This covers minor wear and tear, minor drops, and normal use. The following are not covered:
In the event of significant damage or loss, you agree to pay the replacement or repair cost for the affected equipment:
We will notify you within 5 business days of receiving your return if there is a damage claim. Any amounts owed will be charged to the payment method on file or invoiced separately.
You agree to:
Pass The Cam's total liability under this agreement shall not exceed the amount you paid for your rental. We are not liable for indirect, incidental, or consequential damages, including but not limited to missed memories, emotional distress, or costs of alternative videography services.
This agreement shall be governed by and construed in accordance with the laws of the State of Georgia, without regard to conflict of law provisions. Any disputes arising from this agreement shall be resolved in the courts of Fulton County, Georgia.
This Rental Agreement, together with your booking confirmation, constitutes the entire agreement between you and Pass The Cam regarding your rental. It supersedes all prior conversations, emails, or representations.
